Implementation of a Document Management System for an International Trading House 


Customer

An international trading house that required the documentation of acceptance criteria for a new document management system. The customer opted for a commercial off-the-shelf (COTS) solution with several custom adjustments to meet their specific needs. 

Challenge

The trading house faced challenges due to the evolving nature of the project. Over time, requirements changed, but these changes were not documented, leading to gaps and inconsistencies. They needed a robust system to store and display both hard copy and digital documents in a unified platform, and also required clear documentation and testing processes to ensure the system met all updated requirements. 

Technology 

The solution chosen was a commercial off-the-shelf document management system, customized to fit the specific needs of the trading house. Additionally, Confluence was used for requirement management, and TestComplete was introduced for automated regression testing. 

Solution

Our consultant played a crucial role in addressing the challenges faced by the trading house: 

  • Requirement Elicitation and Documentation: The consultant elicited the changed and missing requirements from stakeholders and documented them in Confluence. This created a comprehensive and up-to-date repository of all requirements.
  • Creation and Execution of Acceptance Tests: Based on the complete set of requirements documented in Confluence, the consultant created and executed acceptance tests to ensure the system met all specified criteria.
  • Introduction of Test Automation: Automated regression tests were not present initially. Our consultant introduced the test automation tool TestComplete and integrated it into the entire IT landscape. This enabled automatic verification of new application releases for changes and ensured continuous quality assurance.

Result

The implementation of the document management system and the introduction of a structured testing process resulted in significant improvements for the trading house: 

 

  • Enhanced Requirement Management: The use of Confluence for documenting requirements ensured that all changes and additions were clearly captured and organized, reducing inconsistencies and gaps. 
  • Effective Acceptance Testing: The creation and execution of acceptance tests based on the documented requirements ensured that the system met all business needs and functioned correctly. 
  • Automated Regression Testing: The integration of TestComplete into the IT landscape facilitated automated regression testing, allowing for quick and reliable verification of new releases and reducing the manual testing effort. 
  • Unified Document Management: The customized COTS solution provided a unified platform for storing and displaying both hard copy and digital documents, improving accessibility and efficiency.
